Event Coordinator

The Washington County Humane Society (WCHS) seeks a full-time, event specialist who will also oversee the volunteer program. This diverse role is responsible for planning WCHS’s three major fundraising events, plus a multitude of community outreach opportunities.

The role

In addition to the primary duties, this position will meet regularly with the leadership team for planning and goal setting; assist with ROMP with the Animals summer day camps, present at functions, support the administrative and leadership team, and solicit for event sponsorships. Candidates are comfortable with people of all ages and can balance relationship-building with the other important position functions. Some evenings and weekends are required.

This job demands a lot. Yet, the satisfaction of witnessing animals finding loving homes, and the camaraderie among the volunteers and donors who return year after year to work on events is heartwarming. You will come to know and love them

Essential functions & responsibilities

  • Plan and execute three major fundraisers, as well as oversee an annual volunteer appreciation event each year.
  • Maintain and delegate items on event to-do lists.
  • Supervise the volunteer coordinator who is a liaison between our 700 volunteers and WCHS.
  • Have sensitive conversations with volunteers as needed.
  • Recommend staff members to assist with fundraising events.
  • Working with the volunteer coordinator, ensure adequate volunteer staffing for fundraisers and educational and outreach events.
  • Assist with ROMP with the Animals, a day camp for youth, held during the summer.
  • Coordinate, schedule, and sometimes attend outreach events with the help of your two direct reports.
  • Present to youth groups, civic organizations, other functions, and occasionally on TV and radio to promote events and shelter programs, and responsible pet care and humane issues.
  • Work with volunteer coordinator and leadership to recommend a Volunteer of the Quarter.
  • Solicit and secure event sponsorships.
  • Other responsibilities include developing event/volunteer policies with the executive director, assisting others with special projects as needed, and participating in meetings, training and seminars as necessary.
Required qualifications

  • Respect the dignity and basic rights of animals.

  • Be a self-starter.
  • Understand and be dedicated to the Washington County Humane Society’s mission, philosophy and animal welfare programs.
  • Display emotional maturity and enjoy being a team player in a fast-paced environment.
  • Demonstrate attention to detail and strong communication and customer service skills.
  • Possess strong oral, written and organizational skills.
  • Bring a minimum of two years’ experience in animal welfare, a nonprofit organization or a related position.
  • Work independently with minimal supervision.
  • Demonstrate computer literacy and knowledge of spreadsheets and databases. (Fluency in Volgistics and DonorSnap is a plus).
Job environment & culture

The Coordinator will work in the newly rebuilt shelter located on Hwy 60 in the Town of Polk. Although this position typically does not include animal care, you may occasionally be exposed to zoonotic diseases, frightened, injured and aggressive animals. Working in animal welfare is emotionally demanding and often includes dealing with abrasive constituencies, animal abuse and neglect situations, and conversations about euthanasia. WCHS does not euthanize for length of stay or space and its annual euthanasia rate is three percent. This role has the potential to grow and change as WCHS expands its programming. This position reports to the Executive Director.

WCHS’s mission is to protect animals from suffering and cruelty, to provide care for animals afflicted by neglect and abandonment, and to enhance the lives of animals and people through education, adoption and compassion. WCHS offers health insurance, a 403(b) match and vacation, but the best benefit is the opportunity to work alongside very bright, compassionate, and creative individuals who are at the top of their field and care deeply about providing solutions for animals in need — and for the people who love them.

Pay and benefits
  • This is a salaried role, starting at $40,000 per year
  • Paid time off (PTO)
  • Heath, dental, and vision insurance offered
  • 403(b) retirement plan with 1% employer match
  • Employee discounts on goods and services
